Marketing products or services to a hundred leads who have demonstrated some interest in what you are selling is significantly more effective than trying to sell to a thousand random leads.

Identifying these leads is only the first step in a successful marketing campaign.  To move from identifying a potential customer to actually selling to him or her takes follow-up.  In other words, potential customers need to be reminded that your products or services exist.  Having said this, the real road to success is built on establishing and nurturing relationships with both potential and past customers.

Developing these relationships would take a lot of time and effort if each correspondence with the lead was sent out one at a time.  Thankfully, there are several ways to keep track of your leads, and your correspondence with them.  These systems are known as lead management systems.

Many people are very familiar with Microsoft Outlook, as it comes already installed on many computers.  Users can import their leads from a spreadsheet or .csv file into the Contacts section of Outlook and separate them into groups. They can then send an email to an entire group at once.

While Outlook is fairly easy to understand and operate, it does have its downsides.  Unless you have your own server, what you put into Outlook can only be accessed through the computer you input the information to.  If you were out of town and using another computer, you wouldn’t have access to your information.  Another downside is that you cannot write and schedule emails to be sent at a future date and time.

All in all, if you are just starting out and have less than a few hundred leads, Outlook could work very well for you.  

The next step up would be an autoresponder program.  It is possible to find some free programs on the internet, but take note that when a message is sent through a free service, the reader will see ads from other companies.  In order for the autoresponder service to stay open and provide a free service to its users, it accepts outside advertising from other companies that is shown to the readers of the messages.

There are also many affordable options for an autoresponder service which will send your messages free of advertisements.  This will create a very professional appearance.

With an autoresponder, multiple lists can be created.  When the lists have been set up, the user can create a sign up form to be displayed on their website or blog.  Once a person signs up for more information, their information is automatically added to the autoresponder. The user can write messages and load them into the autoresponder, which will then send the messages to the user automatically, in the order established by the user.  

A third option would be a web-based contact management system. These systems combine the benefits of both Outlook and an autoresponder program.  Users can enter personal contact info and notes for each lead, and they can also create messages to be sent out well into the future.

Each of these systems is slightly different and is built to suit different needs.  The type of business you have and how much contact you have with your leads will help you decide which of these systems is right for you.
